How personal information is handled, how memorial records may be corrected, and the limits that apply when using information published on this website.

1. Scope and responsible party
This statement applies to the Wall of Remembrance website, its memorial register, maps, contact forms, donation enquiries and name-submission services. The Hennenman District Agricultural Union is responsible for the personal information processed through this website. Privacy and correction enquiries may be sent to az.oc.ruum@droom or P.O. Box 2, Hennenman, 9445.
2. Information we collect
We may collect a submitter’s name, email address, telephone number, relationship to a person recorded, correspondence and supporting material. Memorial submissions may include a deceased person’s name, age, date, town, province and related historical information. The website may also record technical information such as IP address, browser type, security logs and form timestamps. Contact details supplied by a submitter are not intended for publication unless permission is given.
3. Purpose and lawful processing
Information is processed to maintain and improve the memorial register, review submissions, respond to enquiries, correct records, prevent spam and abuse, maintain website security and comply with legal obligations. Depending on the circumstances, processing is based on consent, a legitimate operational or historical-interest purpose, contractual necessity or a legal obligation. Only information reasonably required for these purposes should be collected.
4. Service providers and international processing
Authorised hosting, website-maintenance, email, security and form-service providers may process limited information on our behalf and are expected to protect it appropriately. Google reCAPTCHA and Google Maps may receive device, browser, IP-address and usage information under Google’s own privacy terms. Some providers may process information outside South Africa, subject to applicable safeguards.
5. Cookies, consent and Google Analytics
We use Google Analytics 4 (measurement ID G-W4QNM86KYL) to understand how visitors use the website and to improve its content. Analytics storage is denied by default. Google Analytics tags may load in consent mode, but analytics cookies and similar storage are not permitted unless you select “Accept analytics.” When consent is granted, Google may process pages viewed, approximate location, device and browser details, referral source and interaction information. We do not intentionally send names or email addresses to Google Analytics. A necessary local-storage entry remembers your choice. Use “Cookie settings” at any time to change or withdraw consent; withdrawal applies to future analytics activity and selecting “Necessary only” removes the website’s known Google Analytics cookies. Limited analytics reports are retained on this website for up to 90 days. Google may process analytics information outside South Africa under its own terms and safeguards.
6. Security and retention
Reasonable technical and organisational safeguards are used to protect information against loss, unauthorised access, alteration or disclosure. No online system can be guaranteed completely secure. Information is retained only for as long as reasonably necessary for the memorial, enquiry, legal, security or record-keeping purpose concerned, after which it may be deleted, anonymised or archived where lawful and appropriate.
7. Your POPIA rights
Subject to POPIA, a data subject may ask whether personal information is held, request access, request correction or deletion of inaccurate, irrelevant, excessive, outdated, incomplete, misleading or unlawfully obtained information, object to certain processing, withdraw consent where consent is relied upon, and lodge a complaint with the Information Regulator. Identity or authority may need to be verified before a request is actioned.
8. Accuracy of memorial information and corrections
The memorial register contains historic information assembled from community submissions, family reports, archival material and other sources. Although reasonable care and review are applied, not every fact can be independently verified. Names, spelling, dates, ages, locations, provincial classifications, map positions and surrounding circumstances may therefore be incomplete, disputed, outdated or incorrect. Please report a suspected error to az.oc.ruum@droom with the record concerned, the proposed correction and any supporting information. Reports will be assessed and reasonable corrections made where substantiated.
9. Website disclaimer and limitation of liability
The website is provided for remembrance, historical reference and public information. Its content is not an official crime-statistics record and does not constitute legal, safety, investigative or professional advice. Users should independently verify information before relying on it, republishing it or using it for research, legal, media or commercial purposes. To the fullest extent permitted by South African law, the responsible party, organisers, contributors and service providers do not accept liability for loss or harm arising from reliance on inaccurate, incomplete or unavailable content, unauthorised submissions, map approximations or third-party websites. Nothing in this statement excludes liability that cannot lawfully be excluded.

Hoewel redelike sorg en beoordeling toegepas word, kan nie elke feit onafhanklik bevestig word nie. Name, spelling, datums, ouderdomme, plekke, provinsiale klassifikasies, kaartposisies en omstandighede kan dus onvolledig, betwis, verouderd of verkeerd wees. Rapporteer asseblief ’n moontlike fout aan az.oc.ruum@droom met die betrokke rekord, voorgestelde regstelling en enige ondersteunende inligting.
9. Webwerfvrywaring en beperking van aanspreeklikheid
Die webwerf word vir herinnering, historiese verwysing en openbare inligting verskaf. Die inhoud is nie ’n amptelike misdaadstatistiekrekord nie en is nie regs-, veiligheids-, ondersoek- of professionele advies nie. Gebruikers moet inligting onafhanklik bevestig voordat daarop staatgemaak, dit herpubliseer of vir navorsing, regs-, media- of kommersiële doeleindes gebruik word.
